Summary
Orange Mountaineering/Orange Outdoors Ltd hereafter referred to as Orange Mountaineering, respects your personal data and this Privacy Notice sets out what data we ask for and what we do with it. Orange Mountaineering will carefully receive, store and share this data as our internal business activities require.
Activities, workshops and events, require some information to be obtained from you for the purposes of that event. This is so we can keep in contact with you before your event, while you’re on your event and after your event.
Orange Mountaineering is required for legal and insurance purposes to keep consent forms for 6 years after the activity, after then the documents will be delete. These documents will be kept digitally, scanned if needed, in a secure manner. Paper copies or digital copies may be during the activity but will be destroyed after the activity.
Information that we collect from you
Information you maybe asked for, depending on the activity, workshop or event, includes some or all of the following:
· Your full name
· Your email address
· Your date of birth
· Your favoured contact phone number
· An emergency contact by name and phone number
· Any medical or health conditions that you would like us to know about to inform our care for you as a client in an event setting
This information is collected by way of Booking Forms or by you enquiring about a service or event. We will not store or use personal data that you do not want us to store or use.
Your personal data will be stored and used in a manner which makes it easy for us to keep in contact with you with essential event information, as well as useful information you might like to receive from us (future events and general news from Orange Mountaineering).
Orange Mountaineering will not share any of your data with other businesses, marketing lists or individuals outside of Orange Mountaineering and its employees. We assume that these processes will not cause you undue worry or concern, but please contact us if you have any queries and we’ll be happy to discuss our operations and the personal data we have received from you.
Data Sharing Agreement
Please note that medical information and consent forms will be shared with your instructor for the duration of the activity. Following the activity consent forms will be held securely for 6 years (or 6 years from when the participant turns 21 years of age) for legal and insurance purposes.
Consent from data will mainly be held digitally on a password protected cloud.
Your data will not be shared with anyone outside of employees of Orange Mountaineering
Any changes to this Privacy Policy in the future will be posted on the Orange Mountaineering website and, where appropriate, through email notification.
Changes
All comments, queries and requests relating to the use of your information are welcomed and should be addressed to the Information Officer. If you have any complaints about how your data is used by Orange Mountaineering, please contact us and we will respond within 28 days.
Please note that sending data via email is not secure. If you would like to send data securely please contact me and we can use an encrypted method of digital communication.
